Immediate Requirement for a Personal Assistant

Job Description: We seek a Personal Assistant to join our company, requiring the following qualifications and skills:

Requirements:

  1. Secretarial Diploma or office administration diploma.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  3. Computer literacy.
  4. Valid South African driver’s license and personal vehicle.
  5. South African citizenship.

Responsibilities: The Personal Assistant to the Director will:

  1. Aid in secretarial and administrative tasks.
  2. Manage filing and document control.
  3. Create client files and collect necessary documentation for the Director.
  4. Prepare, format, and edit reports, documents, and presentations (Excel, PowerPoint).
  5. Understand municipal, metro, and Eskom policies.
  6. Log queries with Municipalities and Eskom, ensuring timely resolution.
  7. Assist with invoice completion and distribution.
  8. Draft basic letters and advocate’s briefs.
  9. Manage the Director’s schedule.
  10. Handle client birthdays and send appropriate messages promptly.
  11. Adhere to policies on processes, version control, and document management.
  12. Assist with requested tasks.
  13. Maintain accuracy and timeliness in all work.
  14. Promote customer excellence and uphold the Company’s reputation.
  15. Attend to personal tasks for the Director:
    • Collect and deliver parcels, groceries, etc.
    • Conduct basic grocery shopping.
    • Arrange personal appointments.
    • Manage license renewals, cell phone queries, etc.
